You’ve gotten your first Booking. Now what?

Follow these easy steps and everything will go off without a hitch.

Step 1: CONFIRM THE JOB

Make sure you have a team that can do the job at the date/time/location that the client requested.

Launch 27 automatically sends an email to the client to let them know that you received their booking. However, you will need to send a final confirmation that everything is good to go.  Launch 27 makes this easy for you:

  1. Go to the Active Bookings page 
  2. Click on the date of the service to open the edit booking screen
  3. Click on Save and Send Confirmation.  This sends the client your standard confirmation email. Note: this email can be edited under Settings ->Email templates.

 

Step 2: ASSIGN THE TEAM

Assign a team to the job either from the Active Bookings page or the Schedule Bookings page.

Step 3: SEND THE SCHEDULE

On the day before service, send the team their schedule of all assigned jobs.  We recommend the day before so that the team receives the most up-to-date booking schedule.

To send the schedule, simply click Send Schedule on the Active Bookings page or the Schedule Bookings page.

Step 4: PUT THE CLIENT’S CREDIT CARD ON HOLD

The night before service is a good time to put the client’s credit card on hold.

This pre-authorizes the card and lets you know that the card has funds available to cover your payment. This is done on the Charge Customers page.

If the card is declined, you will need to call the client to get a new card on file.

The best thing is you can do all of this before actually going to the job, so there’s ZERO risk that you will not be paid for services rendered.

Step 5: CHARGE THE CREDIT CARD

This can be done anytime after the service is completed.

Best case is at the end of the day. This way if you need to add additional services or increase/decrease the price of service when the team arrives to complete the job, you can do so.

If for some reason the job is not completed, you can refund the hold (by copying and pasting the Stripe code into refund field on the Charge Customers page), or leave it as is and the hold will be released after 7 days.

Step 6: PAY THE TEAMS

After the job is marked as completed (occurs automatically each day), the job details will be presented to be paid on the Pay Teams page.

Best case scenario will be to pay on a weekly lag.  Jobs done in any particular week are paid in the next week.  This gives enough time for the charges to clear and be available and to make any changes you may need to make to the team’s pay.

So there you have it.  6 easy steps to processing a job.  If the job is a recurring job, after the current job is marked as complete, the next job will be automatically created by the system at the correct interval.
